Privacy policy

FindMyVet is a platform to find a vet or pet care professional, book appointments, keep your pet's history and help stray animals. Here we explain, as simply as we can, what data we use, why, who sees it and how long we keep it.

1. Who we are

The data controller is FindMyVet, [FILL IN: address], VAT no. [FILL IN: VAT number]. For anything about your data, write to [FILL IN: contact email].

The vets and professionals on the platform are independent controllers for what they record as part of their work (e.g. clinical notes, test results). You can also contact them directly about that data.

2. Who this is for

Pet owners, stray caretakers, volunteers, professionals (vets, groomers, trainers, boarding) and visitors. You must be at least 15 to create an account (article 21 of Greek Law 4624/2019).

3. What data we use and why

Your account

  • What: name, email, mobile (optional), password (stored only in encrypted form), language.
  • Why: so you can sign in, book appointments and receive messages about them.
  • Legal basis: performance of a contract (GDPR art. 6(1)(b)).

Pets and health records

  • What: name, species, breed, date of birth, weight, microchip, photo, vaccines, history, health diary (weight, notes, photos), documents (test results, X-rays, prescriptions), medication and care reminders.
  • Who sees it: you and the family members you added. Vets you have appointments with see the profile, the documents and the diary notes you chose to share. Anyone with your booklet share link can see the booklet until the link expires.
  • Where documents are kept: in private server storage with no public link. They open only for people with access.
  • Legal basis: performance of a contract.

Appointments and messages with the clinic

  • What: date, time, service, professional, status, notes, reschedules, recurring appointments, waiting list, and the messages you exchange with the clinic about each appointment.
  • Who sees it: the professional and their front desk see your name, phone, pet details and messages.
  • Notifications: confirmations, reminders and review requests, by email and, if you turn them on, on your phone.
  • Legal basis: performance of a contract.

Reviews and public content

  • Reviews are published with your first name and surname initial (e.g. "Maria K."). They can only be written after a real appointment.
  • What you publish yourself (adoption posts, lost/found, colony needs, place suggestions, events) is public, together with any contact details you choose to include.
  • Questions in "Ask a vet" are published without your name, after we review them and remove anything personal.
  • Legal basis: performance of a contract and legitimate interest (trustworthy reviews for future users).

Strays, fostering and fundraisers

  • Caretakers: details of strays and colonies, area, and what we need to verify you are a caretaker or an association.
  • Foster volunteers: area, species and availability. Not shown publicly. Your email is shared only with the caretaker you offer to help.
  • "I'll help" for a colony: the colony's caretaker receives your email so you can arrange things.
  • Fundraiser donations: you can donate anonymously. Otherwise only your first name is shown.
  • Legal basis: performance of a contract and consent for what you choose to share.

QR collar tag

  • The QR page shows your pet's name, what you chose to show (e.g. phone, a note) and whether the pet is lost.
  • Whoever finds your pet can send you a message, contact details and, if they allow it, their location. We keep these messages for 12 months. From the IP address we keep only an irreversible hash, to stop abuse.
  • Legal basis: legitimate interest (getting the pet home) and consent for location.

Neighbourhood and phone notifications

  • If you ask for lost-pet alerts, we keep the area and, if you give it, an approximate location and radius.
  • If you turn on phone notifications, we keep a device identifier. Notifications go through your browser's push service or Google's Firebase Cloud Messaging (in the app). You can turn them off at any time.
  • Legal basis: consent, which you can withdraw at any time.

Video calls

  • Video calls run on Jitsi Meet (if ($l['video'] === 'jitsi')our own server meet.jit.si@elsemeet.jit.si). We do not record or store audio or video.
  • Legal basis: performance of a contract.

Professionals

  • Public profile: name, photo, clinic, address, phone, services, prices, hours, education, languages. The licence number is used for verification.
  • Invoicing and payouts: business name, VAT number, tax office, address and IBAN for payouts.
  • Front desk: members you add see appointments and hours, not statistics, prices or reviews.
  • Partnership requests: what you write in the form, so we can contact you. If the partnership doesn't go ahead, we delete it after 12 months.
  • Legal basis: performance of a contract, legal obligation (tax) and legitimate interest (verifying professionals for users' safety).

Security and abuse prevention

  • Sign-in history (date, IP address, device and browser type), to alert you about sign-ins from new devices and detect attacks. Kept for 90 days.
  • Legal basis: legitimate interest (security of the platform and accounts).

Website statistics

  • We count anonymously which pages are viewed, where visitors come from, what device they use and what they search for (only the search text, not who searched). No cookies, and we don't store your IP address. If your browser sends "Do Not Track", we don't count you at all.

Email

We only email you about your account, appointments, pets and things you asked for (e.g. updates on a fundraiser you supported). We don't send marketing without your explicit consent and we don't sell data to anyone.

4. Who we share data with

  • The professionals you book with or contact, and their front desk.
  • Family members you add to a pet.
  • Service providers working for us (processors), under contract and only as needed:
    • website hosting and backups: OVHcloud (κέντρα δεδομένων στην ΕΕ)
    • email delivery: [FILL IN: email provider]
  • Maps: map tiles come from OpenStreetMap, which sees your IP address like any website you visit. It sets no cookies.
  • Authorities, only when required by law (e.g. tax authorities, a court order).

5. Transfers outside the European Union

Our data is hosted in the EU. Some providers (e.g. Google, Meta, 8x8) may also process data in the United States. This is based on the EU-U.S. Data Privacy Framework or the European Commission's standard contractual clauses.

6. How long we keep data

7. How we protect data

HTTPS only, encrypted passwords, two-factor authentication (2FA) for professionals and administration, private storage for documents, each user can access only what concerns them, photos stripped of location metadata (EXIF/GPS), daily backups and sign-in logging.

8. Your rights

You have the right to:

  • know what data we hold about you and get a copy (access and portability),
  • correct it (most things can be changed directly in your account),
  • delete it (Settings → Delete account, or by email),
  • restrict or object to processing based on legitimate interest,
  • withdraw any consent at any time (e.g. phone notifications, cookies), without affecting what happened before.

9. Automated decisions

We don't make decisions about you by automated means alone and we don't profile you. The order of search results depends on criteria such as distance and available times and, where marked "Featured", on a professional's paid placement.
